Primary Purpose of Organizational Unit:Building Services provide full maintenance and repair services for all UNC facilities and ensure the proper operation of those facilities in support of the UNC mission of teaching, research and public service. Building Services supports more than 400 campus buildings with approximately 18 million gross square feet of space. The teams that provide quality maintenance, repair and construction services that support the teaching, research, and public service mission of the University include Campus Maintenance, EMCS, Facilities Operations Support, Housing Support, HVAC Systems, and Life Safety Services.
Position Summary:Provides administrative support for the managers of Campus Maintenance, Energy Management Controls Systems, HVAC, and Life Safety, and other supervisors and staff within these work units. Responsibilities include scheduling meetings, maintaining calendars, reserving conference rooms, answering and directing calls, and greeting visitors and employees; maintaining office supplies for units, submitting unit invoices for payment, updating org charts and other electronic files and spread sheets for upper management, supporting units with training request and travel arrangements, review of time management system for time entry needs and support to supervisors on that system; composing letters, memos, and correspondence. Responsible for managing all administrative activities within the work units and performing supporting functions for unit managers and supervisors.
Minimum Education and Experience Requirements:High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience:Excellent organizational, verbal and written communication skills. Ability to coordinate multiple tasks simultaneously; independently research and respond to questions/issues that deviate from standard operating procedures through the use of resources such as policies, manuals or other staff members; and ability to use Microsoft Excel, Word, and Outlook.
NC Driver's license or ability to obtain one prior to start date.
Experience with Kronos timekeeping system, i.e. the University's Time Information Management System (TIM). Experience with Microsoft excel and Microsoft office tools. Experience with Concur system, i.e. the University's training and travel request system.
Required Licenses/Certifications:A valid NC Driver's License or ability to obtain prior to hire date.
