Job Description Summary:
We are seeking a rockstar Executive Administrative Assistant to support GM Global & Strategic Accounts region. This role requires anticipating the needs of the GSA leaders and proactively taking the initiative to solve problems independently, while displaying appropriate judgment. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is a must.

Job Description:

Responsibilities:

  • Provide high-touch executive administrative support to assigned leaders and work with their teams to support overall business objectives; Help to design and administer an operating rhythm for each team
  • Coordinate and manage internal and external meetings at the executive (C-suite) level, including Global Market leadership team onsite meetings and events. This role includes interaction with CEO staff Executive Assistants and C-suite executives.
  • Follow up on action items on behalf of the leaders as appropriate
  • Provide effective and expeditious meeting coordination including agendas, notes and follow-up as needed
  • Screen and respond to phone calls and email as appropriate.
  • Coordinate and organize meetings; team events including planning and facilitating any office events - managing to budget, resources and any special requirements. Manage room bookings and video conference facilities on site.
  • Make travel arrangements expeditiously and accurately for both domestic and international travel
  • Prepare and track purchase orders and expense reports
  • Planning & heavy calendar management; making considered and appropriate judgments
  • Partner and network with other Company administrative assistants in order to collaborate, obtain information, get things done and solve problems
Experience:
  • 8+ years relevant work experience supporting at the SVP or above levels in a complex and dynamic environment.
  • Prior experience in handling a wide range of administrative-related tasks, organizing large meetings across time zones and arranging travel.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
  • Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
  • Highly organized with an ability to demonstrate meticulous attention to details, adaptability, flexibility, resourcefulness and efficiency.
  • Self-starter and self-directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
  • High level of integrity required for handling sensitive and confidential information.
  • A "can-do" attitude that focuses on getting the job done
  • Team player and comfortable working within executive assistant team dynamic, as well as working with other stakeholders and partners.
  • Flexibility to accommodate leaders global travel schedule.
  • Advanced skills using MS Office applications; Outlook, Word, Excel, and PowerPoint.
  • Excellent communication skills (both written and oral).
  • Comfortable taking direction from members of the senior leadership's support team.
  • Relevant work experience supporting at the senior executive level in a complex, dynamic and global environment.

The U.S. national hourly pay range for this role is

$16 to $55
