Position Summary:

The purpose of this position is to support the GEDC Principal Investigator (PI) with administrative support needed to carry out grant objectives and ensure efficient operation of the larger GEDC team.In particular, this role:

  • Schedules both internal and external meetings on behalf of the PI and other GEDC team members
  • Manages the calendar of PI
  • Ensures all engagements are organized and prioritized
  • Ensures all engagements have clear call-in or Zoom/Teams/WebEx/GoToMeeting log-on and/or passcode details
  • Anticipates conflicts and works to mitigate and resolve them
  • Integrates and updates calendar with Calendly for ease of scheduling
  • Makes travel arrangements for PI and other GEDC team members such as booking flights, cars, and hotel or restaurant reservations
  • Collects and posts PCard and other expense receipts and submits expense report
  • Maintains and organizes GEDC team internal filing system via Microsoft Teams
  • Serves as the main point of contact for GEDC's growing roster of Independent Contractors (Faculty, Business, Communications & Legal Consultants)
  • Requests monthly invoices
  • Posts invoices into internal UNC system
  • Confirms with Independent Contractors that their invoices have been entered
  • Provides updates to Independent Contractors about payments if delayed or need extra approvals
  • Manages the onboarding of Independent Contractors by ensuring timely completion of all relevant University forms and approvals
  • Track expiration and renewal of Independent Contractors to ensure no lapse in approval or payment
Minimum Education and Experience Requirements:

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
