Reporting to the Director of the Student Center Complex (University Center, Shalala Student Center, and ConferenceServices), the Event Operations Representative - Night/Weekend provides direct supervision of the Student CenterComplex and Lakeside event operations service team primarily during night and early morning hours, which includes monitoring and reporting on facility needs as well as providing essential security.

The Event Operations Representative - Night/Weekend works closely with Complex facilities, information, technical services, and events/reservations personnel. The Event Operations Representative - Night/Weekend enforces policies and procedures, oversees building security, and maintains furniture and equipment inventories. This position provides essential services to student activities and professional events throughout the Complex and assists in the maintenance of Student Center Complex equipment, furnishings, and systems.

The working schedule will typically include weekdays, weekends, evenings, and overnight shifts. Summer semester hours may vary as well as special events. The exact schedule will be coordinated with other Event Operations Representativesand will be periodically reviewed and adjusted to meet the needs of the facility.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Responsible for maintaining a high standard of facility operations-producing a constant experience for the entire Student Center Complex and Lakeside event spaces, including all indoor and outdoor spaces.
  • Serves as the primary supervisor for the Student Center Complex overnight team between 2 and 6 a.m.

Event Operations
  • Monitors and patrols building and grounds to maintain Student Center Complex and Lakeside event spaces standards, ensuring correct furniture and equipment placements and cleanliness.
  • Responsible for creating and monitoring online forms and tools included but not limited to; facilities maintenance, special events, and operations.
  • Recruit, hire, train, and schedule student staff.
  • Oversee inventory of equipment needed for daily and annual events.
  • Enforces Student Center Complex and UM policies and procedures.

Student Employment
  • Schedule and oversee student staff trainings for the operations and overnight team.
  • Responsible for overseeing the student payroll, budget, and evaluations for the operations and overnight team.
  • Performs or directs student staff to perform proper setup and break down of areas/ equipment, reporting any security issues.
  • Works closely and regularly with Student Center Complex tenants to ensure facility is being maintainedappropriately.
  • Produces and provides daily status reports of tasks and issues.

Building and space support
  • Unlocks and re-secures rooms/areas and equipment pre- and post-event; meets user at event start.
  • Provides excellent customer service, ensuring all needs are met and anticipating un- scheduled needs for events.
  • Communicates changes and updates to events/reservations on no-shows, room changes, and special user requests on an as-needed basis
  • Responsible for access control of the operations and overnight student staff.
  • Works closely with the AV team of set up needs and requests for events.
  • Assists operational areas (Budget, Information, Events/Reservations, Audio Visual Services, and Facilities) and student staff in answering policy or operational questions. Assists in Student Center Complex areas (Information, Technical Services, and Facilities) on an emergency or as-needed basis.
  • Responsible for overseeing work orders' process and follow up with the facilities maintenance team.
  • Performs additional duties as delegated by the SCC & CS leadership team.

KNOWLEDGE, SKILLS, ABILITIES (KSA):
  • Strong organizational skills.
  • Must be customer service-oriented, adaptable, and show initiative
  • Must be able to work in a team environment as well supporting a sense of community among student and full-time employees
  • Knowledge of MS Office Suite
  • Must be able to learn software for task tracking, event scheduling, room diagramming, etc.
  • Must have knowledge (or ability to learn skills) of sound systems, projectors, and lighting.
REQUIREMENTS:
  • High school diploma or equivalent; and one year of progressive experience.
