Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

Reporting directly to a Vice President, Associate Vice President, or Administrative Director, this position is responsible for providing a variety of senior level administrative support that may be moderate to complex in nature. The Executive Assistant proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County; and models Eskenazi Health's values of Professionalism, Respect, Innovation, Development and Excellence.

Essential Functions and Responsibilities

• Coordinates travel arrangements, manages calendars/meetings, submits expenses, and provides advanced administrative support
• Prepares, reviews, submits and tracks Executive's reports and requests
• Maintains office systems, including filing, data management, etc.
• Serves as liaison to other departments, staff, vendors, and suppliers
• Prepares meeting materials including leading and assisting with creating presentations, spreadsheets, handouts and other related materials
• Communicates effectively with external and internal customers, participating in special projects and other tasks, as needed
• Organizes, maintains and procures office supplies
• Updates and maintains office policies and procedures
• May create requisitions
• Sorts and distributes daily mail

Job Requirements

• Bachelor's degree in business administration, or a related field with two years office administration, or related experience OR in lieu of degree, six years directly related administrative support experience
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Excellent communication and organizational skills
• Proven ability to handle confidential information with discretion
• Ability to work in a fast-paced environment
• Strong attention to detail
• Demonstrated ability to achieve high performance goals and meet deadlines.
• Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
