Position Summary:

The Functional Analyst and Project Coordinator is responsible for coordinating and monitoring various projects and technologies to support enrollment and FAFSA completion, student communications, engagement, services, and initiative of the Office of Financial Aid and Scholarships. The Functional Analyst and Project Coordinator is responsible for the management of financial aid management systems, troubleshooting, assessing the systems and processes for efficiency, new year set-up, and management of Institutional Student Information Records (ISIRs). This position is a member of the Financial Aid Operations and Quality Control team and will work closely with OFAS leadership and staff, information technology, institutional research, and other units providing support services to students.

The work schedule for this position is flexible and may include working evenings and weekends.

Duties and Responsibilities:

  • Analyzes and documents existing processes and systems, completes regular quality assurance on system processes, and makes recommendations for enhancements; provides technical assistance and training, develops user documentation
  • Creates interactive reports to maximize the efficiency and use of data by various College areas. Retrieves data, provides data analysis and prepares analytical reports
  • Performs research to resolve technical questions, problems, and complex student issues
  • Works with a variety of departments and vendors to ensure system operability between Elluican Banner SIS and third-party systems
  • Provides operational and procedural advice to improve the functionality of systems in alignment with policy and business processes
  • Participates on projects relating to new systems or upgrading of existing systems including system testing and validation for functionality, enhancements and customizations
  • Advise OFAS leadership during the planning process on operational or procedural matters to meet project goals and objectives
  • Provide technical expertise and oversight of projects relating to the updating and maintenance of systems, with a focus on the advising functions of systems, communication platforms, webpages, student portal, etc.
  • Serve as a project coordinator for OFAS projects and initiatives by providing technical leadership and expertise during the planning, coordinating, implementation, and review phases of work
  • Assist with the maintenance and coordination of communication plans and operational calendars throughout the student lifecycle
  • Lead and participate on projects relating to new systems or upgrading of existing systems including system testing and validation for enhancements and customizations
  • Manage the import of ISIRs, duplicate PIDM resolution, data integrity, associated processes, and fraud detection
  • Collaborate with OFAS leadership to develop procedures, policies, and operations related to high quality student services
  • Facilitate learning and training for OFAS staff to utilize the data in the system to make data-driven decisions
  • Performs all other duties and responsibilities as assigned or directed by the supervisor

Job Requirements:
  • Bachelor's degree in a related field and
  • Three years of professional experience in Title IV, Scholarships, Grant administration or a related compliance oriented area
or
  • An equivalent combination of certification, education and experience sufficient to successfully perform the essential duties of the job such as those listed above
Preferred:
  • Project management experience
  • Knowledge and use of query tools to create, modify and run queries
  • Experience with Banner or similar student information systems, student management systems, customer relationship management systems, text messaging platforms and/or other database systems and software
  • National Association of Student Financial Aid Administrator (NASFAA) credentials
Additional Information:

Must be able to meet federal accessibility standards to access and update federal databases; cannot be in federal student loan default or overpayment

  • Skills that demonstrated commitment to student success
  • Knowledge of applicable computer programming languages relative to the assignment
  • Knowledge and application of organizational and time management principles
  • Knowledge of administrative procedures and practices
  • Skill in effective communication (both written and oral)
  • Skill in organization, coordination and management
  • Ability to work with independently as well as in a team environment
  • Ability to adapt to a rapidly changing technical environment
  • Abilities in researching and compiling information and prepare various reports as needed
  • Abilities in maintaining security of confidential student records
  • Skill in interpreting and applying local, state, and federal laws and regulations
  • Experience in compliance with accreditation or regulatory higher education bodies
