Job Summary/Basic Function:

The Graduate Success Program Support Specialist provides essential administrative and programmatic support to the Graduate Student Success Center (GSSC), assisting in the daily operations that foster graduate student academic and professional success. Reporting to the Graduate Student Success Coordinator, the Specialist coordinates key functions within thesis and dissertation processes, provides administrative support for writing assistance programs, manages communication and data tracking for GSSC professional development events, and facilitates customer service for the GSSC. This role serves as a primary point of contact for graduate students, answering questions, processing forms, and ensuring efficient GSSC operations.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.

Essential Functions:

95% of the time the Graduate Success Program Support Specialist:

  • Thesis & Dissertation Support
    • Assist in the electronic processing of theses and dissertations, ensuring documents meet institutional guidelines and deadlines.
    • Coordinate with the Graduate Student Success Coordinator to maintain and update thesis and dissertation forms and dashboard systems.
    • Provide accurate information to students about submission requirements and academic milestones.
    • Monitor processes and recommend improvements to streamline thesis and dissertation workflows.
  • Writing Assistance Coordination
    • Support the organization of writing workshops and coaching sessions for graduate students, including coordinating schedules and reserving spaces.
    • Maintain communication with students about upcoming writing assistance opportunities, ensuring effective outreach.
    • Collect and analyze feedback on writing support services, identifying areas for improvement and implementing changes as needed.
  • GSSC Administrative and Customer Service Support
    • Oversee the daily operations of the GSSC space, providing friendly and knowledgeable customer service to students, faculty, and staff.
    • Manage the GSSC's success email inbox, respond to inquiries, and process forms and documentation accurately and efficiently.
    • Evaluate the needs of the GSSC, identify resource gaps, and recommend enhancements to improve services and support.
    • Adapt to and implement new or revised GSSC goals, processes, or activities to effectively support graduate students.
  • Support for Graduate College Events
    • Assist in the planning and logistical support of Graduate College events, such as the 3-Minute Thesis (3MT) competition and Graduate Showcase, including managing workshop scheduling, student outreach, and participant registration.
    • Coordinate with the Graduate Student Success Coordinator to prepare materials and arrange event logistics.
    • Collect event metrics and feedback to inform future planning and recommend improvements to enhance event impact.
  • Professional Development Program Support
    • Assist in the implementation and promotion of professional development opportunities, including updating students on available workshops and resources.
    • Maintain records and data tracking for professional development offerings and evaluations, ensuring organized records for analysis and reporting.
    • Collaborate with the Graduate Student Success Coordinator to identify new professional development opportunities that align with student needs and institutional goals.
  • Program Support and Continuous Improvement
    • Evaluate and recommend changes to GSSC services, processes, and resources to enhance operational efficiency and effectiveness.
    • Adapt to evolving program goals and implement new or revised processes to achieve desired outcomes.
    • Prepare detailed reports and maintain accurate records of GSSC activities, progress, and outcomes to support data-driven decision-making.
    • Interact effectively with students, faculty, staff, and community members to facilitate program objectives and ensure alignment with institutional goals.
    • Perform a variety of complex office tasks, including documentation management, process coordination, and problem-solving.
5% of the time the Graduate Success Program Support Specialist:
  • Perform other duties as assigned.

Minimum Qualifications:

Bachelor's Degree or equivalent relevant professional experience.

Preferred Qualifications:
  • Bachelor's Degree in education, administration, communication, or a related field.
  • Experience in higher education or student services, preferably in a support or administrative capacity.
  • Excellent organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Customer service experience with strong communication skills for responding to student inquiries.
  • Experience with data tracking and reporting in Excel, Google Sheets, Smartsheet, or similar software for maintaining records of student participation and event data.
  • Collaborative skills and experience working as part of a team to achieve shared goals.
  • Familiarity with event coordination or logistics planning is preferred.
  • Attention to detail in processing forms, updating dashboards, and managing documentation.
Salary and Benefits:

Salary starting at $47,320.00 annually and is commensurate with experience. Boise State University provides a best-in-class benefits package, including (but not limited to):
