Job Title:International Scholar Operations Specialist (ISOS)Department:International Affairs | International Students and Scholars

The International Scholar Operations Specialist (ISOS) is a vital member of the Scholar Team within the Office of International Affairs' (OIA) International Students and Scholars (ISS) unit. In this fast-paced environment, the ISOS excels in customer service, team collaboration, and attention to detail while handling immigration cases, ensuring compliance, and providing support to international scholars and employees.

Key Responsibilities:

  • Lead Immigration Case Business Processes: Manage intake of immigration cases and associated fees using various software programs and management systems including Sunapsis, Workday, and Microsoft Teams and Excel.
  • Workflow Coordination: Assign cases and tasks to team members and liaise with campus units and clients.
  • Manage U.S. Department of Labor (DOL) Submissions and Compliance: Prepare and submit Labor Condition Applications (LCAs) and Prevailing Wage Determinations (PWDs) to DOL's electronic portal, FLAG, for H-1B cases. Oversee LCA posting requirements with campus units and OSU's HR Talent Immigration team and related government requirements including electronic and paper-based files.
  • J-1 Scholar Support: Conduct new J-1 scholar orientations and assist J-1 scholars with health insurance information and third-party insurance enrollment. Liaise with the third-party insurance provider on complex insurance questions and claims and assist the director with annual policy renewal.
  • Lead J-1 Scholar Health Insurance Compliance: Ensure J-1 scholars enroll in and maintain insurance coverage, coordinate compliance notifications, disseminate information, conduct information sessions, and create support materials.
  • Fiscal Operations: Conduct fiscal operations for H-1B case fees, work with Office of Academic Affairs Business Services and Accounts Payable (AP) using Workday software for H-1B case check creation and pick up checks from AP's office.
  • Business planning and process improvement: Assist Scholar Team and Business Analyst with Sunapsis electronic form creation/revision for business process updates and improvements.
  • Data Analysis and Technical Support: Use Sunapsis to create reports for case trend analysis and provide clientele with limited technical support.
  • File Management: Prepare H-1B paper-based case files and archive and purge them.
  • Monitor office supplies and faxes: Order office supplies for the team and distribute faxes to team members.
  • Supervision: Supervise 1-2 students who assist with file maintenance and administrative support.

Education/Experience

Minimum Education:

  • Bachelor's degree or equivalent in International Relations, Education, Public Administration, Business or a closely related field.

Required:

  • Experience with Sunapsis or other database management systems such as PeopleSoft, Workday, Banner, or Terra Dotta.
  • Proficiency with Microsoft Office products, including Excel, Word, Teams, and Outlook.
  • Previous experience working with international populations and the ability to effectively interact with individuals from diverse cultural backgrounds.
  • Basic understanding or interest in immigration regulations for H-1B and J-1 non-immigrants.
  • Excellent organizational skills and strong interpersonal, verbal, and written communication skills.
  • Ability to work independently and collaboratively as part of a team.
  • Exceptional attention to detail and accuracy.
  • Proven ability to thrive in a fast-paced environment, prioritize tasks, manage projects, and complete assignments efficiently.

Desired:

  • Prior experience in a customer service role within higher education.

The Targeted Hiring Range for this position is $20.02 - $24.89. The actual salary paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
