Manager, Administrative Operations

The University of Miami/UHealth Department of Neurology has an exciting opportunity for a Full Time Manager, Administrative Operations.

Core Job Summary

The Manager, Administrative Operations oversees office activities and services including the supervision of office staff to achieve maximum productivity and expense control. Develops procedures and policies for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.

Core Responsibilities

  • Ensures all administrative operations run smoothly and efficiently.

  • Coordinates, plans and directs services which support the running of the department.

  • Plans and coordinates the duties of staff in addition to analyzes complex administrative concerns.

  • Develops and implements department processes.

  • Recruits and trains office support staff.

Department Specific Functions

  • Regularly meets with Divisional and Program Leaders to evaluate needs and team performance.

  • Acts as a Liaison between Cancer Center and Department.

  • Coordinates continuing education opportunities for medical and administrative staff within the program.

  • Prepare and manage various reports.

  • Creates and updates SOPs for the Neuro-Onc Division Team.

  • Develops and updates training and onboarding materials for the Team.

  • Provides technical support and resolves operational problems.

  • Writes and edits internal documents, designs presentations and drafts of Neuro-Onc Program information.

  • Handles routine clerical tasks such as reports, flyers and Powerpoint Presentations.

  • Organizes schedules, and coordinates meeting, conferences, and events for the neuro-oncology department.

  • Supports collaboration between Program Leaders and SCCC leaders.

  • Arranges travel for guest speakers and attendees of Program meetings /conferences; and handles travel reimbursements as per UM guidelines.

  • Assist in the hiring, training, and evaluation of new staff. Works with Event Manager on Neuro-Oncology Program-related events.

  • Develops and implements administrative and clinical research policies for better efficiency and compliance.

  • Manage meetings, related correspondences, meeting announcements, attendance rosters, hand-outs, and minutes for Neuro-Oncology.

Core Qualifications

  • High school diploma or equivalent

  • Minimum 5 years of relevant experience

Knowledge, Skills and Attitudes:

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to effectively plan, delegate and/or supervise the work of others

  • Knowledge of business and management principles.

Any relevant education, certifications and/or work experience may be considered.
