Responsibilities

  • Manages the Houston TX office to ensure the office is operating smoothly, including (but not limited to): assigning workspace, ensuring supplies are maintained, orienting new staff, ensuring the facility is equipped with needed furnishings and equipment, ensuring a pleasant and efficient work environment, and supporting in-person meetings and conferences.
  • Prepares written documentation on processes and ensures implementation of policies and procedures related to the Houston office.
  • Identifies opportunities for process and office management improvements and designs and implements new systems for all CWS office locations.
  • Provides operational onboarding of relevant new staff on office management guidance, policies, and procedures.
  • Collaborates with office managers throughout the region to provide support, encourage mutual learning, and provide direction regarding procedures and policies.
  • Serves as the primary liaison and manages operations' relationships with relevant vendors and landlords.
  • Provides logistical support for in person needs of the Houston office including meetings, events, and reception.
  • Manages purchasing needs on behalf of the Houston office and Operations team.
  • Coordinates the administration of the travel request and approval process for all CWS official travel.
  • Monitors the budget and spending related to the Houston, TX office and office services, ensuring compliance with policies and high-quality services for a good value.
  • In partnership with leadership and operations, coordinates communication regarding office closures, building management memos and issues impacting conditions of work.
  • Manages special projects as assigned.
  • Provide excellent customer service and maintain relationships with colleagues and vendors.
  • Represents operations at internal staff meetings as relevant to the responsibilities of the position.
  • Organizes meetings, office communications and manages the office SharePoint, as well as any related databases.

Qualifications

Education:
  • Bachelor's degree, or equivalent combination of education and work experience.
Experience: 4 year's work experience in managing front office operations.

Special Requirements

  • Ability to work cooperatively with a wide range of organizations, including other resettlement agencies and mutual assistance associations, as well as local, state, and federal government agencies. The applicant must demonstrate creativity and initiative and must be able to handle multiple projects and responsibilities simultaneously.
  • This is a mostly onsite position with some hybrid flexibility.
