Job Summary
Under general supervision from the Associate Dean, Associate Director, Assistant Directors and Office Manager, provide clerical duties in the College of Veterinary Medicine Office of Advancement.
Duties & Responsibilities

Program Support

• In charge of maintaining the Companion Animal Memorial Fund. This includes processing memorial cards by entering data, formatting, proofreading, assembling, and mailing cards. Maintaining 4D database as well as preparing and distributing monthly statements for the Companion Animal Memorial Fund veterinary clinics.

Office Support

• Greets visitors to the Office of Advancement in a professional, welcoming, and helpful manner.

• Performs reception duties for the office, such as answering telephones and directing calls to appropriate staff members. Personally handles routine matters with initiative and clarity.

• Sorts and distributes incoming mall designated for the Office of Advancement, Dean's Office, Office of Public Engagement, and Office Research and Advanced Studies.

• Creates, updates, revises, and retrieves files, which may include confidential materials. Files electronic documents appropriately under the supervision of the Assistant Dean, Associate Directors and Assistant Director.

• Types correspondence (original text and form letters) and special projects as requested by Assistant Dean and Associate Directors and Assistant Director. Copies and distributes materials as designated.

Additional Physical Demands
Physical demands are those which are normally associated with general office work performed in a secretarial position. Position may occasionally involve light lifting and errands. Because of the location within the Veterinary Medicine complex, persons may experience allergy discomfort from animal dander, hay and straw.
Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling eighteen (18) months from the categories below:
    1. College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    2. Work experience performing office/clerical activities, including the use of computer systems.

• Working knowledge of University policies and procedures

Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/6/2024. The entry level rate for this position is $18.924/hour. Salary is commensurate with experience.
