Description

The Project Administrator - Complex Projects is responsible for the management of the flow of information from the beginning of the order acceptance process through the entire project lifecycle and handover to customer. Tasks included are order approval process, order compliance and scheduling, billing, purchase orders, and reporting, along with other tasks deemed necessary for successful project execution.

Essential Functions:

  • Prepares invoices for billing and any additional documentation required for billing purposes.
  • Processes invoices and validates according to project contract documentation.
  • Initiates documents for purchase orders, subcontracts, and change orders.
  • Assists Project Managers with the preparation of submittals and operational/maintenance manuals.
  • Gathers and records information to assist with process compliance monitoring.
  • Reviews status reports prepared by project members and modifies schedules or plans as required. Prepares project reports.
  • Works with Project Manager and assists in forecasting of projects.
  • Initiates, processes, and tracks progress of contracting claims.
  • Coordinates with customers on contract documentation including tax documents, purchase orders, and general information.
Additional Responsibilities:
  • Coordinates project activities of government regulatory or other governmental agencies.
  • Creates and/or coordinates the final layout drawing package and insures 100% conformity between all documents including estimates, abstracts, layouts, and contractual requirements.
  • Creates warranty claims for missing or damaged materials at job site.
  • Additional duties as assigned.


Requirements

  • 5-8 years of relevant experience.
  • Proficient with Microsoft Office Suite.
  • Intermediate to advanced computer literacy, including experience with ERP / IT systems - Dynamics AX experience preferred.
  • Ability to work independently, take initiative, manage priorities, and see projects through to completion.
  • Prior experience supporting construction and field employee groups, including strong problem-solving skills, critical thinking, and self-initiative.
