The Office of the Registrar, an academic service center for the University of Denver community, takes an active role in assisting students and faculty with registration and advising by providing the tools needed to review academic progress, create class schedules and successfully register for classes. Specialized services include, but are not limited to registering for classes, prompt transcript distribution, degree evaluation and certification, enrollment and degree verification, classroom scheduling, and withdrawal processing. We provide pertinent information regarding academic policy, federal regulations, and procedures as related to the procurement, maintenance and release of educational records of our current and former students.

Position Summary

Reporting to the Associate Registrar for Registration and Records, the Registrar Coordinator is one of two initial points of contact for the Office of the Registrar. This position is responsible for providing registration support, facilitating accurate and efficient registration processes in accordance with institutional policy, providing outstanding customer service through email, phone, and in-person interactions, and communicating academic policies and deadlines as they relate to registration.

Examples of work performed by Registrar Coordinators include processing leave of absences and student withdrawals in compliance with federal and institutional policies; build course sections for and register students in experiential learning, independent study, and independent research opportunities; maintain accuracy and retention of registration-related materials and records; review, respond, and refer inquiries received by the Office of the Registrar by students, staff, faculty and community members over the phone and email; provide guidance to student employees within the Office of the Registrar when needed; navigate and solve registration problems with students; process degree and enrollment verifications; and assist with additional tasks related to registration and records as required.

Essential Functions

Student Registration Support (30%)

  • Process registrar forms related to registration and enrollment and thoroughly check forms for accuracy and appropriate signatures in accordance with institutional and academic policy.
  • Assist students, staff, and faculty in navigating registration processes and answering questions related to registration corrections, student schedule changes, and registration deadlines related to tuition and billing.
  • Build course sections for and register students in experiential learning, independent study, and independent research opportunities.
  • Provide direction and supervision to student employees within the Office of the Registrar as they support student registration efforts.
Customer Service Support (30%)
  • Review, respond, and refer high volumes of incoming telephone calls, personal visits, and emails received by the Office of the Registrar.
  • Answer general questions and resolve registration problems (which may include tuition and billing) for students, faculty, staff, and the outside community.
  • Provide phone verifications of degrees, dates of attendance.
  • Convey complex information over the telephone to callers including institutional academic policy and deadlines related to registration, tuition, and billing.
  • Greet visitors to the Office of the Registrar and assure that visitors are connected to the necessary services including answering common registrar-related questions and providing campus directions and contact information for additional University of Denver units.
  • Open and distribute mail to appropriate parties within the Office of the Registrar.
Student Record Verification and Maintenance (20%)
  • Update student identification information within the Student Information System (Banner) upon request. Involves obtaining and reviewing proper documentation needed for name changes including identification documents, signed releases, court orders, etc.
  • Save and index all documents processed to the student record via the university's document imaging system.
  • Review academic bulletins and course information to provide copies of course descriptions and enrollment information upon request from former or current students.
  • Process enrollment verifications, degree verifications, and other student record requests by phone, email, in-person, and through the National Student Clearinghouse while adhering to appropriate university FERPA policies.
Withdrawal Processing (10%)
  • Process student withdrawals during the academic term and at the end-of -term in accordance with federal student and institutional policies.
  • Collaborate with units on campus such as Financial Aid, Student Outreach and Support, and other academic units in a timely manner to collect and record required information needed to comply with financial aid administration and legislative reporting requirements.
Additional Records and Registration Tasks (10%)
  • Assist Transcript and Grading Coordinator to process official and unofficial academic transcripts when requested. Includes reviewing student records for holds, producing transcripts through Banner, and communicating with outside entities about transcript request processes.
  • Update student status information and provide registration time tickets for students re-enrolling in the university.
  • Additional duties as assigned or need within the Office of the Registrar such as assistance with annual Commencement activities.

  • Ability to communicate ideas and complex information clearly, concisely and effectively both in writing and verbally to diverse constituencies. Specifically, ability to communicate academic, policy and curricular information with academic leadership, faculty, staff and students. Actively listens to others to achieve understanding.
  • Ability to work productively in a setting with people of diverse backgrounds, identities and personalities.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction supporting the success of diverse student populations.
  • Ability to identify existing and potential problems. Notes, understands, and includes the critical elements of problem situations; obtains and evaluates relevant information; notes relationships among elements; identifies possible causes of the problems; recognizes the need has the ability to shift to alternative courses of action including innovative or creative approaches.
  • Ability to use technology and software tools to effectively analyze data and perform or manage day-to-day activities. Examples include Ellucian Banner, Salesforce, Maxient and Microsoft Office.
  • Ability to operate standard office equipment, i.e., computer, copier, presentation equipment. The majority of the work spent using personal computer, telephone, or in meetings. Ability to move about the office and campus. Ability to travel to off-site locations. Due to seasonal activity, this position will occasionally require long hours and availability outside normal working hours. May be required to work weekends or evenings to meet scheduled deadlines or work on major projects.
  • Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, students, and other employees of the organization.

  • Required Qualifications
    • Associate's degree, or equivalent combination of education and work experience
    • Minimum of 1 year work experience providing customer service
    Preferred Qualifications
    • Bachelor's degree.
    • Minimum of 3 years work experience providing customer service or student services.
    • Experience with Banner or related information systems.
    Working Environment
    • Standard office environment.
    • Unexpected interruptions often occur, and stress level is moderate to high.
    • Noise level is quiet to moderate.
    Physical Activities
    • Ability to sit in front of a computer for an extended period.
    • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
    Work Schedule

    The University's administrative offices are open Monday - Friday, 8:00 a.m. - 4:30 p.m. Work schedule may vary.

    In accordance with the University's flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

    The salary grade for the position is 6.

    Hourly Range:

    The hourly range for the position is $21.96 - $25.03.

    The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate's sex or any other protected status.
