Senior HR Specialist

Job Summary
The purpose of this position is to provide support to the Department of Business Administration and assist the Director of Administration in carrying out the administrative and human resource functions of the Department. This position requires exercising initiative, discretion and independent judgement.

Duties & Responsibilities

  • Human Resources/Faculty Searches
    • Coordinate the faculty recruiting process, including being the primary point of contact for candidates. Provide guidance and administrative support to the faculty search committee chair and update the Director of Administration and Head of the process. Responsibilities include initiating the faculty search workflow, scheduling committee meetings, coordinating interview dates. Communicate affirmative action goals, search committee training and reference checking to the search committee. Assist in efforts to increase the efficiency of the hiring process. Serves as the primary contact to Gies College HR, OEA, IHR, ISSS.
    • Initiate the visa process for all faculty and visiting scholars. Provide guidance and interpret policies and procedures related to visas. Work closely with the International Student and Scholar Services (ISSS) office.
    • Serve as the first contact for questions and concerns from faculty regarding human resources employment policies and processes, including offers, appointments, title changes, separations, summer appointments, and benefits. Provide guidance and oversight for compliance-related activities under the ADA, FMLA, FLSA, and other federal and state labor laws and university policies.
    • Prepare salary offer letters for faculty.
    • Supervise and support civil service HR Representative
    • Maintain 1-9 Tracker system for new employees and re-verifying information for international employees.
  • Unit Administrative Duties
    • Coordinate the onboarding of new faculty to increase the efficiency and effectiveness of the employee onboarding process.
    • Process Service in Excess forms and enter in the HR Application Portal for faculty. Verifying for accuracy.
    • Monitor required trainings for faculty and student employees to ensure 100% compliance.
    • Maintain the recruiting database
    • Coordinate travel arrangements and prepare itineraries for faculty searches, assembling background material
    • Under the guidance of the Director of Administration, manage the Permanent Resident process for all faculty, if required, including providing relevant information to both ISSS and legal counsel.
    • Coordinate the process to obtain visas required for foreign travel for faculty.
    • Assist the Head and Director of Administration with the Department's faculty promotion and tenure process.
    • Review, update, and process sabbatical requests according to Provost Communication #19 for the Head's approval. Work closely with the Dean's office to ensure that college and campus deadlines are met.
  • Other related duties as assigned to further the mission of the unit.
Minimum Qualifications

Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position. Two (2) years (24 months) of work experience performing professional-level human resources duties.

Preferred Qualifications

Master's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.

One year of professional-level human resources duties at the University of Illinois and/or progressive human resources experience as related to faculty searches.

Knowledge, Skills and Abilities
  • In-depth knowledge of University of Illinois employment transaction processing, HR policies as related to faculty searches.
  • The ability to troubleshoot issues submitted to the HR Partners team is essential for effective resolution.
  • Demonstrates strong organizational abilities to manage tasks efficiently and effectively.
  • Exhibits excellent oversight capabilities and meticulous attention to detail.
  • Utilizes sound judgment to identify and resolve exceptions and issues.
  • Proficient in interpreting and consistently applying policies and regulations, while identifying exceptions and conducting necessary research. Ensures confidentiality and careful handling of employees' information and transactions within the HR Partner team.
  • Demonstrates professionalism and maintains a courteous demeanor in the workplace.
  • Effective communication within the HR Partner team is crucial for delivering optimal customer service.
Appointment Information

This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after The search closing date. The budgeted approved salary for this position is $70,000-$75,000 and salary is commensurate with experience.
